PeriCALM FAQ

Note: This topic is also covered in PeriTrain computer-based training

Step 1:

  • When a patient arrives into Triage or Labor & Delivery and needs to be monitored, look on the chalkboard to see if the patient has been admitted from the ADT system.
  • If the patient has not been admitted from the ADT system, search the Admit search database to see if the patient has been here before.
  • If there are no matches, manually admit the patient by using the patient’s name in lowercase letters and today’s date and time (e.g., name: sample, patient, Patient ID (MRN): 06012012 1500) which will be her temporary patient ID so she can be monitored in the system until the ADT admitting feed is received. This will allow the fetal strip to be captured electronically.

Step 2:

  • When the ADT feed comes across the interface for this patient, the patient’s admitting feed will appear in the vb (Virtual Bed) in all UPPERCASE letters and in black

Screen Shot 2015-12-07 at 2.16.38 PMStep 3:

  • To Merge the patient, ALWAYS choose the patient from the vb (Virtual bed) first, then click the Merge icon.

Screen Shot 2015-12-07 at 2.16.51 PM

Step 4:

  • After clicking the Merge icon, the patient’s ADT admission will appear in the left column (the patient from the vb).

NOTE: Always choose the patient’s chart of priority first which in Hahnemann’s case would be the patient from the virtual bed because the patient’s MRN is the priority item for the merging of the 2 charts.

Screen Shot 2015-12-07 at 2.16.59 PM

  • Then, choose which patient’s chart to merge from the right

Choose the patient’s name with the temporary, fake medical record number in the right column (e.g., name: sample, patient, Patient ID (MRN): 06012012 1500)

Screen Shot 2015-12-07 at 2.17.04 PM

  • Then click ‘Merge.’ This will merge the 2 charts and place the patient in the correct bed without losing any fetal monitoring strips.

NOTE: If the patient is merged incorrectly, there will no tracing because the patient’s chart will now appear in a virtual bed.

Step 5:

  • The system will prompt you with: “Are you sure you want to merge these visits?”

If correct, click YES.

Screen Shot 2015-12-07 at 2.17.11 PM

  • The system will prompt you with “Merge complete!”

Screen Shot 2015-12-07 at 2.17.17 PMStep 6:

  • Confirm that the merge was done correctly into the correct bed location

The patient’s name must be black and in UPPERCASE letters on the chalkboard for her vitals and contractions to stream into PeriBirth.

Screen Shot 2015-12-07 at 2.17.25 PMStep 7:

  • If the patient’s name is in lowercase letters and in orange, please contact a Super User immediately.

Step 8:

  • If the patient’s name is in all UPPERCASE letters and the name is in orange, please check to make sure that the patient’s location is the same in both PeriCALM® and PeriBirth®. If their locations are different in both systems, then change the patient’s location to her correct in either PeriBirth® or PeriCALM®.

Note: This topic is covered in PeriTrain computer-based training

Step 1:

  • If the patient’s chart was merged incorrectly, patient’s name will be displayed in lowercase and orange letters with the Patient ID (MRN) still showing as the today’s date and time  (e.g., name: sample, patient, Patient ID (MRN): 06012012 1500).

Screen Shot 2015-12-07 at 2.46.43 PMStep 2:

  • Search the ‘Previous Encounters” tab by the patient’s last name.
  • Then, click “Previous Encounters Search”.

Screen Shot 2015-12-07 at 2.46.51 PMStep 3:

  • The screen will display all of the patient’s encounters within the system.
  • Choose and highlight the patient’s encounter that needs to be corrected. It will be the encounter with the correct MRN from the ADT system and the correct admission date.
  • After highlighting that visit, check to see if there is a checkmark in the deleted column.

Screen Shot 2015-12-07 at 2.47.00 PMStep 4:

  • Click the ‘undelete visit’ button.
  • The system will prompt the user: “Are you sure you want to undelete the selected visit?”
  • Click “Yes”.

Screen Shot 2015-12-07 at 2.47.06 PM

Step 5:

  • After undeleting the visit, the checkmark in the delete column will disappear.
  • Keep that visit highlighted and now click the ‘cancel discharge’ button for the visit.

Screen Shot 2015-12-07 at 2.47.20 PM

  • Readmit the patient to a virtual bed.

Screen Shot 2015-12-07 at 2.47.24 PM
Step 6:

  • After you have readmitted the correct patient MRN admission to the virtual bed, you can then merge the 2 charts correctly by selecting the patient in the virtual bed first.

Screen Shot 2015-12-07 at 2.47.33 PM

Step 7:

  • Pick the patient in the Virtual Bed first, then pick the patient in the bed in the right column and click “Merge.”

Screen Shot 2015-12-07 at 2.47.39 PMStep 8:

  • The correct patient’s MRN is now displayed in the correct location. The patient’s name will be in all UPPERCASE and black This is a visual cue that the patient’s chart is linked correctly between PeriCalm and PeriBirth.

PeriCALM® Patterns does not support multiple gestation pregnancies. For more information, please contact your Client Executive or email info@perigen.com

We strongly recommend that clients stay current on critical Microsoft updates and patches.  PeriCALM will not be affected as long as you don’t update the Operating Systems (OS).  The best practice approach is to apply and test patches to the Test Server first, prior to installing on the Production Server.  PeriGen does not certify Microsoft patches or test all Microsoft patches.

If you encounter a problem in either the test or production environment, please contact PeriGen support 24/7 at 866.321.6788 or support@perigen.com

During the transition to Fall Standard Time, clocks are rolled back one hour on all computers and servers.  From a local time perspective, when this time change occurs, the hour 1 AM and 2 AM is repeated.

PeriCALM® Tracings™, being a UTC (universal time) based system, will continue to work normally during the time change, including inbound and/or outbound EHR interfaces.

However, due to the local time conversion required to send HL7 messages to the EMR, data items sent across the interface during the repeated hour of 1 AM to 2 AM would be stamped with the same local time as values collected an hour before.  If the EMR has limitations handling time rollback, this can lead to incorrect documentation on the EMR side or possible data overwrite when two different observations have the same time.  The example below illustrates this.

STExample1

Therefore, to avoid inconsistencies in charted data or possible data loss due to overwrite, PeriGen recommends that you block or ignore — at the EMR interface engine level — all data items sent from PeriCALM® Tracings to the EMR during the 60 minutes of time overlap.  Then, before bringing up the interface, purge any cached data items.

For any follow up questions regarding this process, please contact the PeriGen 24/7 Support Team at 866.321.6788 or support@perigen.com, or reach out to your Client Executive.

This procedure only applies to interfaces from PeriCALM to the EMR. Inbound interfaces to PeriCALM® should not be affected by the Standard Time Changes.

In the upcoming transition to Daylight Savings Time, clocks will be moved forward one hour on all computers and servers. From a local time perspective, when this time change occurs the hour 2AM will become 3AM.

PeriCALM® Tracings, being a UTC (universal time) based system, will continue to work normally during the time change, including the inbound and/or outbound EHR interfaces.

Outbound values sent over the EHR interface are sent with local time, so all values will be correctly shown with a gap of one hour between 2AM to 3AM on your EMR system.

PeriGen urges its users to verify any data entered and all alerts that may be displayed in your EMR system to avoid the possibility of features that may not function correctly for a brief period after the resetting of the clocks.
